Is There a SafeSend for Gmail? How to Confirm External Recipients Before Sending

VIPRE SafeSend only runs in Outlook. If your team is on Gmail and wants the same pop-up before an email goes outside the company, here is what Gmail does on its own, what it doesn't, and how to get a SafeSend-style stop.

The question we keep getting

It usually sounds like this: is there a simple pop-up that reminds me to check the recipients when I send to anyone outside the company, like VIPRE SafeSend in Outlook?

The short answer: SafeSend itself does not exist for Gmail. Gmail's own warning is a banner, not a pop-up. To get the real thing in Gmail, you need an extension. Here is the longer answer.

What SafeSend does

VIPRE SafeSend is an Outlook add-in. When you click Send on an email that includes an address outside your company domain, it opens a confirmation listing those recipients, often with a checkbox for each, and any attachments. You confirm, and the email goes. Admins set which domains count as internal and deploy it to everyone.

It is popular in law firms, accounting, finance and healthcare, where one email to the wrong person can mean a reportable data breach. In the UK, data emailed to the wrong recipient has been one of the most common incident types reported to the ICO for years.

It only runs in Outlook.

What Gmail does on its own

Google Workspace has an external recipient warning. It is on by default, and it shows a notice in the compose window when a thread includes outside addresses. We walk through the setting in our guide to the Gmail external recipient warning.

Compared with SafeSend, it is missing two things:

1. It does not stop the send. The notice is there while you write. Clicking Send sends.

2. It skips your contacts. Anyone already in your contacts does not trigger it. In practice, that is most of the wrong people you might pick from autocomplete.

Personal @gmail.com accounts get no external warning at all.

Getting a SafeSend-style stop in Gmail

Presend is a Chrome extension that runs in Gmail and checks each email when you click Send. One of its built-in checks is External recipients.

By default it only notes the outside addresses next to your draft. To make it work like SafeSend:

1. Install Presend from the Chrome Web Store and sign in with your work account.

2. Open the dashboard and set External recipients to Block.

From then on, any email with an outside address stops at Send with "Hold on" and the outside addresses listed. Send anyway sends it, Review message takes you back to fix the To line. If you add someone to Cc after you wrote the email, it notices. If you change the recipients after clicking Send anyway, it asks again.

The same setup works in Outlook on the web, so a team split between Gmail and Outlook gets one tool.

The honest version: if everyone at your company uses classic Outlook on Windows and IT wants to push one control to all of them, SafeSend is built for that. If your people write in Gmail, or in a browser, Presend gives you the same stop where they actually work. Our full SafeSend comparison goes deeper.

A tip either way

A confirmation on every outside email gets clicked through on autopilot within a week. Keep the list short enough to read, and think about which emails really need the stop. We wrote about that in why "Are you sure?" pop-ups stop working.
